Sample Job Description

Job Title: Administrative Assistant

Reports to: Executive Director or Business Manager

Responsibilities and Duties:
Is responsible for general office management to ensure smooth functioning of administrative systems
- Supervises janitorial services
- Supervises office equipment inventory, maintenance and repair
- Answers telephone and transfers calls to appropriate individuals
- Provides clerical support to Business Manager and Executive Director
- Processes daily incoming and outgoing mail
- Maintains office supplies and orders additional materials as needed in a timely manner - Maintains office calendar
- Takes minutes at staff and board meetings, and prepares for Executive Director approval
- Maintains written office procedures manual for area of responsibility

The Alliance provides leadership and vision, and delivers services, resources and tools that strengthen community cultural organizations. The Alliance monitors, informs and mobilizes the field on statewide and national issues affecting the arts and assists local arts agencies in building community support and developing effective grassroots public policy.
